WSHSB Band Boosters 2012-2013

 

The WSHSB Boosters are band parents who contribute their time and talent to fill the variety of needs of the band program. Each job – no matter how large or small - is necessary. Since the band’s inception in 2001, to make the band what it is and keep our fees as low as possible; no one is compensated for what they do. In order for the band to survive we rely on the assistance of ALL the member families.

Starting with the 2012-2013concert season, we are instituting a required sign-up system for WSHSB Booster hours. We are requiring one parent from every family to sign-up for at least 4 Booster hours per band calendar year (from Orientation Meeting through the end of July). Some jobs are ongoing while some are one-time only. Sign up at http://signupschedule.com/wshsb.  Please know that there will be ads on this site because we have chosen the free version.

Signing up for the required Booster hours must be completed as part of the registration process and before your Fall registration will be accepted. Music will not be distributed until registration is complete.

This obligation needs to be taken seriously. Please 1) Sign-up if you did not fulfill your initial task or consider an additional open job if your first was not too demanding. 2) Do the task you agreed to. 3) Find a replacement if you can’t fulfill your job.  Job descriptions are below

CATEGORIES

WEEKLY REHEARSAL POSITIONS (one for every hour of band)
BAND APPAREL – (annual order)
SEC - SOLO AND ENSEMBLE CONTEST POSITIONS (annual contest)
CONCERTS (same needs for Winter and Spring Dress Rehearsals and Concerts)
FORMAL BANQUET - (annual banquet)
SUMMER MARCHING POSITIONS (Marching Camp and Parade Needs)

WEEKLY REHEARSAL POSITIONS (one for every hour of band)
Admin – takes attendance; records practice logs; sorts/files random music, assists at front tables as necessary, accept/record signed Handbook Agreements, check-in returned instruments – checking for mouthpiece included.

Safety Marshall - the parent on duty for that band hour is to maintain order & periodically (every 15 minutes) check the parking lot for no loitering and to ensure that members stay in hall. The Safety Person for Symphonic Band also sweeps the hall at the end of the night and takes out the trash.

Adult Musician – plays an instrument as a helper in one or more of the bands

BAND APPAREL – (annual order)
T-shirt coordinator – takes orders from band members and orders band T-shirts, jackets, and sweatshirts

SEC - SOLO AND ENSEMBLE CONTEST POSITIONS (annual contest)
SEC Coordinator - organizes the annual Solo and Ensemble Contest 

SEC door monitor – acts as an aide to the judge in timing student's/audience entry in and out of the judging room; keeps order outside the room, serves the judge by providing refreshments, sharpened pencils, the transfer of completed judging sheets to runner, communicates to the runner which events need to be staged outside the room. 

SEC runner – help find contestants who are not yet at their judging position, and inform them to take their place at the judging room; perform other tasks that require sending forms, messages or supplies from the judging room or the door monitor to someone else at the contest

SEC Judges Lunch Shopper/Provider – bring judges lunch 

SEC hostess – bring coffee and supplies for judges 

SEC set-up – set up rooms for the contests 

SEC clean-up – reset facility and pick up trash 

CONCERTS
(same needs for Winter and Spring Dress Rehearsals and Concerts)

For Dress Rehearsals: 
Logistic Coordinator – organizes the plan to get all members on/off stage correctly

Assistant Logistic Coordinator – helps the Coordinator do the above 

Dress Rehearsal Clean up – check under chairs and in aisles; pick up trash 

For Concerts:
Jackets/Pants Fitting Helper – Fall only, helps fit jackets/pants at fitting, generally a Tuesday evening in November, and maintains the records for the season 

Concert Music Permissions Coordinator- gains all permissions necessary for performance and music rights.  

Concert Ticket/Flier Producer- graphically designs and produces concert tickets and fliers 

Concert Program Producer- designs and produces the concert program 

After Concert Party Coordinator –organizes a reception for the band after a concert 

Cummerbund/tie distributor – generally Thursday before concert, distributes concert apparel 

Usher – direct and assist guests on concert night 

Greet/Lobby Table/Ticket Collection – mans the main table in lobby, greets guests, oversees donation box, collects tickets 

After Concert Clean-up - check under chairs and in aisles; pick up trash 

Cummerbund/tie collector – generally Thursday after concert, collects concert apparel 

Music sorter – generally Thursday after concert, put music in song, instrument and score order 

FORMAL BANQUET
Head organizers of the Formal Banquet are a band family. This year we will proceed with a Formal Band Banquet if there is enough interest by other members in helping to organize and carry out this event. We will check the Boosters Sign-Up Site as a marker of interest and make a decision by November 1st.

PLEASE NOTE - All purchases will be reimbursed and covered by the Entrance Fee.

Planning Committee participant

Money Collector – collect and record entrance fees for the event

Collect RSVP’s and create name cards

Pre-Banquet Set-up

After Banquet Clean-up

Thank You Notes – Write Thank-You notes after Banquet

Decorations - finding/collecting/or purchasing decorations

Gift Coordinator - purchasing gifts for seniors and honored guests

Tablecloths – purchase additional tablecloths as needed/directed

Tablecloths – wash and fold tablecloths

SUMMER MARCHING POSITIONS
(Marching Camp and Parade Needs)
 

For Marching Camp:
Adult Marching Assistant: marches along the band and corrects ranks/columns 

Safety marshal – keeps students safe from the cars at the fair grounds 

For Parades:
Marching Hat Distributor – at collection day the Thursday after Spring Concert, distributes hats and records numbers 

Hat collection – collects marching hats in September and records their numbers 

Color Guard – supervises the children carrying banner in a parade 

Cummerbund Manager – distributes and collects cummerbunds for all parades of the summer.   

Cummerbund Washer - washes cummerbunds at the end of summer 

Flag Bearer - carries a full sized American flag at a parade 

Patriot Auxiliary – follows the band and assists as needed to band members, supervises the younger siblings behind the band  

Safety Marshal – clears the street ahead of band; helps keep order 

Driver – drives band members from the end of the parade (for parking) to the start of the parade  

Water Wagon - brings water before and after parades or prepares and pulls a wagon in the parade that contains an igloo and cups
